Customer story · Gym · Mindbody and ActiveCampaign
A gym owner wanted ActiveCampaign to know what Mindbody knows. New clients now arrive hourly through the day, tagged with what they actually do.
A gym runs its classes, personal training and memberships in Mindbody, and its email marketing in ActiveCampaign. The owner had already been building on APIANT for a month, and his Mindbody history was flowing into his own database. Then he asked his AI client to connect the marketing side.

The challenge
The owner wanted his email marketing to know what Mindbody knows. Every new Mindbody client had to arrive in ActiveCampaign, and every contact had to carry tags for the classes they attend, the personal training they complete and the memberships they buy.
Two limits came with it: leave every existing contact's subscription status, unsubscribes and bounces as they are, and never remove a tag.
- 60new Mindbody clients added to ActiveCampaign in ten days
- 8,532activity and purchase tags added to existing contacts in one morning, each one confirmed
- Hourly + nightlynew clients hourly through the day, a seven-day reconcile every night
- Read-onlyMindbody is only read; ActiveCampaign changes are add-only
The journey
-
Days 1 to 23
His own data first
He connected Mindbody and his own database in the first week, and by Day 23 scheduled jobs were copying his Mindbody history into that database. The tagging below reads from it.
-
Day 30
ActiveCampaign, looked at before touched
He connected ActiveCampaign and had the agent read his lists first, changing nothing.
-
Day 35
New clients, live within the hour
The rules: when a new client profile appears in Mindbody, create the contact in ActiveCampaign, and leave any existing contact's status, unsubscribes and bounces as they are. The agent built it, ran nine test runs in eleven minutes, and the first scheduled run went out an hour after the build began. From the next night, a reconcile looks back seven days to catch anything the hourly runs missed.
-
Day 42
A lifetime of activity, tagged in one morning
Next, the history: tag every existing contact with the classes they have attended, the personal training sessions they have completed and the memberships they have bought. The agent ran it in batches that morning: 8,532 tags on about 2,600 contacts, each tag followed by a confirm step. The same morning an hourly version went live to keep the tags current.
8,532 tags, each confirmed
What he built
| Automation | What it does | Result |
|---|---|---|
| New client capture | Hourly through the day, finds new Mindbody client profiles and creates them in ActiveCampaign; existing contacts are linked, never overwritten | 150 successful runs; 60 new contacts in ten days, counting the nightly reconcile |
| Nightly reconcile | Looks back seven days for any new client the hourly runs missed | 10 of 10 nights succeeded |
| History backfill | One-time: tags existing contacts with lifetime class attendance, completed personal training and purchases | 8,532 tags, each confirmed; switched off when done |
| Hourly activity tags | Adds new attendance, training and purchase tags from his database of Mindbody history; never removes a tag | 66 successful runs, 53 tags added, each confirmed; about 42 seconds a run |
Four automations from a larger account; this story covers only the ActiveCampaign side.
Why it worked
- 01
The rules are built in.
Create only, never overwrite a contact's status, add tags but never remove them: both automations are built to those rules. The batching, matching and checks were the agent's job.
- 02
Every tag is checked.
Each tag added is followed by a confirm step, and a nightly reconcile catches new clients an hourly run missed.
- 03
Read here, add there.
Every request to Mindbody is a read, and every change in ActiveCampaign is an addition: new contacts and new tags, with nothing deleted.
